In the Access section of the delivery sheet you decide how your client gets into their portal. The choice also changes what you will know afterwards about who saw it.
The three ways
| Access | How your client gets in | What you know |
|---|---|---|
| A password for each person (recommended) | Each person with their own, from their link or by typing it | Who got in, which screens they opened and when, and whether they saw the latest update |
| One password for everyone | Everyone with the same one, which you set or generate | Nothing about who gets in |
| Public link | Anyone with the link, no password | Nothing about who gets in |
A password for each person
The password belongs to the person across your whole studio, not to one delivery: with the same one they get into everything you deliver to them. It looks like XXXXX-XXXXX and it does not matter whether they type it in uppercase or lowercase.
To send it, open What the client sees and, in Who has signed in, click Give access on their row. If they have an email, it reaches them with a button that keeps them signed in without typing anything for 30 days. If they have no email, Bitácora shows you the password and the link so you can pass them on yourself: they are only shown that once.
If they lose it, click Renew: they get a new one and the old one stops working in all your deliveries.
One password for everyone
Type it (at least 8 characters) or click Generate. It is saved and cannot be seen again, so write it down first or change it for another one when you need to. When you change it, anyone who had signed in with the old one has to sign in again.
Your client types it in the same field as a personal password, from the delivery link or from your portal's sign-in page. If they type a shared password that is used in two deliveries, they get into the one of the link they came from.
Change the access of a published delivery
Click Delivery and, in the overview, Change access. The change applies right away, without publishing again.
If you leave the Public link for another kind of access, the public link stops opening the delivery. If you go back to it, Bitácora creates a new link: the old one no longer works.
Change the public link
If the public link reached someone it should not have, in What the client sees click Change the link, next to the address. The old one stops working right away; send the new one to whoever should see it.
The immersive view
In What the client sees › Other ways to see it, the Immersive view is another link without a password that shows only the screens, with nothing from the portal: it is useful for presenting them in a meeting. With Change the link, the old one stops working right away.
