Guide
Invite your team to a project
From the canvas team button you invite people by email, choose each person's role, and let them in when they're waiting at the door.
Who can do this
- For
- Designers, Your team
- Role
- Project owner
- Plan
- Essential and up
- Where
- On a computer
A project starts out as yours. When you invite someone, it becomes shared: that person enters the same canvas, sees who else is there, and works with you at the same time.
Invite someone
- On the canvas, click the team button in the top right (it says Private while you haven't shared it).
- Type Their email.
- Choose their role (by default, Can review and comment). Hover over each one to see what it allows.
- Click Invite.
If you already work with that person in one of your teams, they appear under From your teams: and you just tap their name.
The roles
| Role | What they can do |
|---|---|
| Owner | Everything: also the people, the amounts, and the plan |
| Can run with AI | Edit, dictate, run, deliver to the client, and manage the clients |
| Can review and comment | Dictate, arrange the canvas and the sketches, add to-dos, and approve changes. Doesn't run or deliver |
| View only | Browse the project without changing anything |
You can change someone's role in their row, or remove them from the project with their X.
What the invited person receives
They get an email with Accept the invitation, which is valid for 14 days, and in the invitation they see Your role with what it allows. If they already have an account, they also see it in their Bitácora notices. When they accept, the project appears in their Shared with me.
At the door and seats
Each person who enters a shared project takes a seat. If there are no free seats, the person waits at the door: at no cost, until you let them in.
In Project team, anyone who is At the door has a circle to the left of their X to let them in:
- Blue, with a check: there's a seat. Click it and they get in.
- Gray: there's no seat right now. Hover over it to see why (the pass, a seat, or the plan you need), and click it to get the offer.
With several people at the door, Let everyone in lets them in at once, as long as there are seats. If your plan already includes the project (Studio or Agency), letting them in doesn't ask you to buy anything.
| Plan | Shared projects included | Seats in each |
|---|---|---|
| Free | None: on Free you work on your own | |
| Essential | With a collaboration pass | 1 per pass |
| Professional | 1 | 1 |
| Studio | 10 | 3 |
| Agency | Unlimited | Unlimited |
Beyond what's included, the collaboration pass opens one more shared project, and you can add seats. Prices are on the plans page.
See the others on the canvas
With the project shared, each teammate shows on the canvas as their photo in a circle, over the area they're looking at. Click their photo, or their face at the top, to go to their area: you'll see their view frame until you move the canvas. In Project team, See the others on the canvas turns those circles on or off.
If you have the project open when someone accepts your invitation, their photo appears on the team button and a notice shows up: accepted the invitation and is now in the project, or accepted the invitation and is waiting at the door.
Troubleshooting
- You don't see the field to invite: inviting is for the project's Owner.
- "There are no free seats left on the pass": free up a seat by removing someone, or add one.
- "That invitation no longer works": the 14 days have passed; invite them again.
